1. Start with one reliable member list
Choose a date to review your existing lists. For each child, check their name, group, membership status, parent contact and monthly fee. Resolve duplicate entries and outdated phone numbers before you start using a new system.
Keep membership status separate from attendance and fee status. A child can be an active member, miss one practice and still have a paid monthly fee. Treating these as three different records prevents a missed session from being mistaken for an unpaid fee.
- Confirm the active group and assigned coach.
- Check which parent account belongs to each child.
- Record individual fee amounts and any agreed exemptions.
2. Record membership fees by child and month
A fee record should identify the child, the month, the agreed amount and whether the fee is paid, unpaid or waived. In AktivZona, club management and authorized coaches record payments within their permitted scope; parents view the status for their own children.
Payment itself happens outside AktivZona. The club receives the money and then records the amount and status in the app. AktivZona does not charge a card or process the membership fee payment.
Example with fictional figures: if a child's September fee is RSD 3,000 and the club has received it, September is marked paid. This does not mean October has also been paid. If a month is waived, record the exemption and its reason rather than marking it as a payment. These figures illustrate a club membership fee, not an AktivZona subscription.
- Confirm the month before changing a payment status.
- Check recorded payments against the club's own payment records.
- Review outstanding fees separately from waived fees.
3. Record attendance for the actual session
Open the relevant practice and group, then record each child as present, absent or excused. AktivZona saves attendance against the session, with its date, time, group and coach, and allows saved attendance to be reviewed and corrected.
Check that the right session is selected before making a correction. A schedule tells you when a practice is planned; an attendance record tells you who actually attended. Management can review attendance reports, while parents can view their own children's attendance history.
- Select the correct date, group and session.
- Record attendance during or immediately after practice.
- Review missing entries before interpreting monthly attendance figures.
4. Agree who is responsible for each record
Management maintains the club structure and reviews club-wide reports. Coaches work with their assigned groups, sessions, attendance and permitted fee records. Parents view information connected to their own children.
Management can use the web and mobile app; coaches and parents use the mobile app. Confirm the access process with the AktivZona team when your club is set up. Send schedule changes and club announcements to the relevant groups so that families can find them alongside the rest of their club information.
- Assign coaches to the groups they actually lead.
- Choose who checks fee records and resolves discrepancies.
- Tell parents where to find schedules, announcements and contacts.
5. Move from spreadsheets in manageable steps
Send the AktivZona team your club name, sport, city, approximate number of active children and contact details. The team prepares the club account and provides access details. Agree how existing member information will be entered; do not assume that every spreadsheet can be imported automatically.
Begin with one group and verify its members, coach, schedule and opening fee statuses. Record a real practice, review the result with the coach, and confirm that a parent sees the right child. Once the records are correct, continue with the other groups.
Agree a cutover date so that staff know where to enter new information. Keep the old spreadsheets as a reference for earlier periods, and compare the opening records before relying on new reports.
- Check one complete group before adding the rest.
- Compare starting balances with existing club records.
- Agree which system is the source for new entries.
6. Check the details before choosing a plan
AktivZona plans include the same features and differ by the number of active children. Coach and parent accounts do not count toward that limit. Use the current pricing page to choose a capacity and check the free plan and trial conditions.
During a demonstration, ask to see a practice attendance entry, a fee status change and the parent view. Confirm who can edit each record and ask about any import, export or integration you require before deciding. A clear match to your daily work matters more than a long list of features.
- Count active children rather than all user accounts.
- Check the workflows your club will use each week.
- Confirm any specific requirements with the team.
